Job description


We are seeking a Share Service Professional to join our rapidly growing in vitro diagnostics company, a leader in the industry for the past 15 years. This is a unique opportunity for an expert in your field to advance your career with our Iberia Diagnostics Business Unit. You will support our operations in the Oporto region in a permanent capacity.


In this role you will:

Office Management

* Person in charge of managing office requests/incidents
* Organize the messengers.
* Answer and forward phone calls.
* Classifiy and distribute mails
* Organize meetings and management of databases.
* Transportation and accommodation reservations.
* Organization of company events or conferences.
* Order stationery and furniture.
* Respond to correspondence, complaints and queries.
* Prepare letters, presentations and reports. * Employee Asset Management (employee cars, phones, etc...)
* quarterly assets validation (phone lines, employee cars, etc..)
* Manage incidents with Shared Services, such as Jira

Travel Agent

* Kowledge of Concur tool, providing support to the users (incidents management, Travel reservations, reports, etc)
* Coordinate with Concur support
* Coordinate transportation, accommodations, tours and activities related to the travel of company employees, especially in the case of projects (events, etc.).
* Handles eventual travel incidents, conflicts, complaints, cancellations and refunds.
* Complements the management of the travel agency by ensuring its alignment with the established policy and control of travel management.
* Monitoring of internal policy, budget control and management indicators.
* Invoice reports
* Trip reports

Purchase Management

* Manage the purchasing process
* Purchase orders Requisition Management trough SAP 4/Hana* Resolve incidents that users of the tool may have
* Manage purchasing reports (purchase volume, savings volume)
*Categorize vendors
* Validations & Homologation
* Monitoring and updating the Quality process

Job requirements

  • Administrative professional training or equivalent experience in this field
  • Fluent English and native Portuguese
  • Computer skills: proficiency in the Office Package, as well as other corporate tools (sharepoint, Yammer, etc.)
  •  3-5 years working in a service or administrative department with flexible responsibilities 
  • Professional experience for the position 
  • Accustomed to data processing
