We are seeking a Share Service Professional to join our rapidly growing in vitro diagnostics company, a leader in the industry for the past 15 years. This is a unique opportunity for an expert in your field to advance your career with our Iberia Diagnostics Business Unit. You will support our operations in the Oporto region in a permanent capacity.


In this role you will:

Assets Management

* Manage shared services incidents received via ticket (Jira), scope Iberia.
* Employee Asset Management includes employee cars and related car items, company lines and phones. The tasks include: purchasing new items, ensuring the quality service of the suppliers, keep databases and inventory up to date, prepare reports, solve incidents.

* Employee cars’ fines management.

* Quarterly assets validation (phone lines, employee cars, etc..)
* Provide guidance to the team regarding the use of the correct use of assets and policies

Purchase Management
* Manage the purchasing process.
* Purchase orders Requisition creation and follow up trough SAP 4/Hana

* Resolve incidents that users of the tool may have
* Manage purchasing reports (purchase volume, savings volume)
* Create and categorize vendors in the system. Ensure that all the information needed is provided to ensure our standards.
* Validations & Homologation
* Monitoring and updating the Quality process
Travel and expenses Support
* Knowledge of Concur tool, providing support to the users (incidents management, Travel reservations, expense reports, etc)

* Complement the management of the travel agency by ensuring its alignment with the established policy and control of travel management.
* Coordinate transportation, accommodation and activities related to the travel of company employees, especially in the case of events.
* Handles eventual travel incidents, conflicts, complaints, cancellations and refunds.
* Monitoring of internal policy, budget control and management indicators.
* Trip reports

Office Management

* Person in charge of managing office requests/ incidents
* Organize the messengers.
* Answer and forward phone calls.

* Assist on reservations for eventual company events

* Order stationery and furniture and manage its purchase orders.

* Classify and distribute correspondence, complaints and queries.

* Proactively ensure that the office is aligned with the standards of the organization. Provide improvement suggestions.

Job requirements

  • Administrative professional training or equivalent experience in this field
  • Fluent English and Spanish and native Portuguese
  • Computer skills:
      • Proficiency in the Office Package needed.
      • Knowledge of other corporate tools such as sharepoint, Jira, SAP, Concur, Power BI, macros, will be highly appreciated.
  • Proactive and problem solving oriented.
  • Fast learner and adaptable.
  • Attention to detail
  • 3-5 years working in a service or administrative department with flexible responsibilities
  • Professional experience for the position
  • Accustomed to data processing
